Where you’ll be based
This role is based in Feltham, London, Full-time office-based (5 days per week) for a 6 month fixed term contract.
How you could help us to Enchant the World with Chocolate
As the first point of contact at Lindt’s UK Head Office, both in person and over the phone, you play a crucial role in making our employees, guests, and customers feel valued and welcome. You provide exceptional customer service with a positive, proactive, and can-do attitude. As part of the Workplace Team, you contribute to creating a fantastic, fun, and engaging workplace experience.
- First Point of Contact: Welcomes visitors, clients, and employees, creating a positive first impression
- Call Management: Answers and directs incoming calls efficiently, taking messages or providing relevant information
- Health & Safety: Carry out daily inspections using reception checklist and report any unsafe conditions or behaviour to the Workplace Manager and log on internal H&S reporting tool SPHERA
- Scheduling Assistance: Manages meeting room bookings and appointments, ensuring availability and minimising conflicts. Daily checks of meeting rooms to ensure they are ready for days operations
- Travel: Assist staff with travel bookings via third party provider as per travel and expenses policy
- Catering Managing internal catering requests, liaise with staff and catering companies to ensure requirements are met
- Correspondence: Handles incoming and outgoing mail, packages, distributing them promptly to the appropriate departments. Manage Chairty Request inbox and prepare donations monthly
- Workplace: Support with the Workplace Team to address office-related issues
- Supplies Inventory: Monitors and orders kitchen and office supplies to ensure staff have necessary resources. Liaise with Supply Chain to provide chocolate for staff in the workplace
- Finance Raise and reconcile purchase orders as per budget
- Visitor Management: Maintains visitor log, issues security passes, and adhere to compliance or safety protocols
- Problem Resolution: Responds proactively to unforeseen challenges, ensuring continuity of services
What experience you’ll bring
- Experienced in providing high quality customer service in a busy dynamic environment
- Excellent attention to detail, strong IT skills including Microsoft Packages
- Previous reception/workplace experience desirable
- Able to prioritise workload and work independently – can get things done
- Approachable personal style – able to demonstrate empathy when appropriate
- Excellent stakeholder management skills and able to juggle multiple demands
- A team player - willing to provide support to colleagues when required
